Questions to Ask a Wedding Venue Before You Book

Before you fall in love with a venue, get the answers that decide whether the day actually runs the way you are picturing. Most of them fit into one conversation. All of them belong in writing.

What's included in the rental?

Ask for the list, item by item. Tables and chairs. Chair covers. Linens. Draping. Lighting. Any decor you can borrow. Setup labor. Breakdown. Cleanup. Two venues can quote the same number and mean completely different things.

At Reverie at Diamond D, the rental includes the 80 x 80 draped barn with chandeliers, the covered lakeside pavilion, bride's and groom's rooms, 21 eight-foot tables, 150 white resin chairs with covers, 100 outdoor ceremony chairs and access to the on-site decor library. How many hours do we get — and when?

"Ten hours" and "Friday through Sunday" are very different rentals. Ask exactly when you can arrive, when vendors can arrive, when the event has to end and when everything has to be off the property.

When can we set up? When do we break down?

If you are decorating yourself, this is the question that determines how your wedding morning feels. Ask whether setup happens the day before or the morning of, and whether early access costs extra.

Is there a rehearsal time?

Ask whether a rehearsal is included, when it can happen and whether another event could be using the space.

What are the vendor rules?

Preferred list, approved list, or exclusive list — the difference matters. Ask whether you can bring your own caterer, whether outside vendors pay a fee, and what insurance vendors must carry.

Can we bring our own food and alcohol?

Some venues require in-house catering and bar service. Others let you bring your own. Ask about corkage, catering minimums, bartender requirements and whether alcohol has to be served rather than self-served.

What security is required?

Most Texas venues require licensed security when alcohol is served. Here, one uniformed security guard or off-duty officer must be present at events with alcohol, and any independent security must be licensed, insured and approved.

What about tables, chairs and linens?

Get counts, not adjectives. How many tables, what sizes, how many chairs, whether covers are included, and what happens if your guest count grows.

What can we do with decorations?

Ask what you may hang, what must be freestanding, whether open flame is allowed, and whether sparklers, confetti or pets are permitted. We are flexible on most of this — many venues are not.

Where do we get ready?

Look at the rooms. Ask how many people fit, what time they open, whether there are mirrors and outlets, and whether the space is private.

What are the ceremony options?

Ask to see every ceremony location on the property, including the one you would use in bad weather.

What is the weather backup — really?

"We'll move it inside" is not a plan. Ask which space, how many guests it holds, how long the change takes and who makes the call.

Parking and accessibility

How many cars fit? Is the lot paved or grass? How far is the walk? Can a guest with limited mobility reach the ceremony site and the restrooms without help?

Is there lodging nearby or on site?

Noise restrictions and end times

Ask what time music has to stop and whether that is a county rule or a venue policy.

Deposits, payments and cancellation

• What does the deposit reserve, and is it refundable?
• When is the balance due?
• Are payment plans available?
• What happens if you need to change the date?
• What happens if you cancel?

At Reverie, a $275 non-refundable deposit and a signed contract hold the date, the balance is due thirty days before the event, and payment plans are available.

Insurance

Ask what coverage is required and what it typically costs. Event liability insurance is required here and most policies run around $100.

Who cleans up?

Ask what you are responsible for, what the venue handles and what happens if it is not done on time.
