Compare What's Included — Not Just the Starting Price

Print this list. Ask every venue the same questions and write the answers in the same columns.

Furniture and linens

• Tables — how many, what sizes
• Chairs — how many, indoor and outdoor
• Chair covers or upgraded chairs
• Linens, napkins and table runners
• Any decor available to borrow on site

Labor

• Setup of tables and chairs
• Breakdown at the end of the night
• Cleanup, trash removal and who is responsible
• Staff on site during the event

Bar and catering

• Whether you may bring your own caterer
• Catering minimums or in-house food requirements
• Kitchen or prep space access
• Bartender staffing requirements
• Corkage or alcohol service fees
• Ice, glassware and bar equipment

Required services

• Security when alcohol is served
• Event liability insurance
• Vendor insurance requirements
• Permits, if any

Time

• Setup access the day before, or only the morning of
• Rehearsal time
• Extra-hour rates
• Early load-in or late load-out fees

Guest logistics

• Parking, valet or shuttle costs
• Transportation for guests staying in town
• Lodging on site or nearby, and who pays for it

Restrictions that turn into costs

• Decor rules that force you to rent alternatives

How to actually compare two venues

Build one number for each venue: rental + everything on this list that they do not include, at real quoted prices. That is the comparison. A higher rental that includes tables, chairs, chair covers, setup time and a decor library frequently lands lower than a cheaper rental that includes a room and nothing else.
